What we are looking for

We are seeking a self-motivated and effective Project Coordinator who possesses strong planning and organisational skills and excellent written and verbal communication skills. 

Reporting to the Project Manager, you will provide efficient, confidential, comprehensive administrative support and coordination to the Project Services Team, ensuring compliance with organisational and budgetary frameworks. You will have responsibility for organising and reporting on all Project Services projects throughout our Sydney property and provide an ongoing evaluation of the Projects Services processes. 

Key responsibilities in the role are but not limited to:

  • Providing a point of contact for project enquiries and ensuring you are servicing customers effectively 
  • Project coordination and communication between internal and external teams including Suppliers, Contractors, Governmental agencies, and Internal Stakeholders
  • Ensure reports (including assisting with financials and tracking of costs), and assistance with the annual budget are delivered within the timeframe
  • Preparation of and/or editing meeting agendas, minutes, presentations and papers for the F&B Council, Group Supply Chain projects and/or project teams
  • Manage Purchase orders and invoices with Third Party Consultants
  • Contribute to the Continuous improvement of the project delivery capability
  • Prepare and issue incident reports and monitor the quality of service being delivered
  • Provide, collate, and liaise with internal departments on department statistics
  • Assess, mitigate, and escalate known risks to Project Managers as soon as possible
  • Ensure all Health & Safety policies are adhered to in line with business requirements

To be successful in this role you will have:

  • Similar experience in previous administration roles and demonstrate the ability to manage tight and conflicting deadlines whilst maintaining good attention to detail
  • Experience within the construction and property industry is preferred, however not essential
  • A ‘can do’ attitude, be forward-thinking and happy to work with a level of independence 
  • Strong computer literacy in Microsoft Office applications is desired
  • Demonstrated experience delivering a high level of attention to detail, coordination, communications, and organisational skills 
  • Ability to be highly adaptable and manage complex business environments
